How ACTELOS AI LIMITED collects, uses, protects and retains personal data submitted through the ActelosAI website.
Scope of this notice
ACTELOS AI LIMITED is a company registered in Hong Kong. This notice explains how we handle personal data when you visit the ActelosAI website, submit an enquiry, or otherwise contact us through this website.
It does not govern information handled under a separate client, supplier, employment or partnership agreement. Those relationships may have additional notices and contractual terms.
Information we collect
Information you provide
Our enquiry forms may ask for your name, work email address, job title, company, country or region, industry, areas where you would like help, how you heard about ActelosAI, and any message you choose to provide.
Fields marked as required are needed to route and respond to your enquiry. If you do not provide them, the form cannot be submitted. Other fields are voluntary.
Technical and security information
When the production website and form are active, our hosting and security services may process information such as your IP address, request headers, browser and device characteristics, timestamps, page or form route, security challenge results, and diagnostic logs. We use this information to deliver the website, prevent abuse, investigate faults and protect the service.
Please do not submit confidential client data, special-category or sensitive personal data, credentials, regulated records, or information you are not authorised to share.
How we use personal data
We may use personal data to:
- receive, assess, route and respond to an enquiry;
- understand the organisation and business context described to us;
- arrange follow-up discussions requested by you;
- maintain an accurate record of communications and decisions;
- operate, secure, troubleshoot and improve the website and enquiry process; and
- meet legal, regulatory, accounting or dispute-management obligations.
We do not currently use enquiry details for unrelated direct marketing without the consent required by applicable law. We do not sell personal data.
Who may receive the information
Access is limited to people and service providers who need the information for the purposes above. This may include:
- authorised ActelosAI personnel and advisers;
- infrastructure, security and communication providers, including Cloudflare services used to host and protect the website, verify form submissions, store enquiry records and send operational notifications;
- professional advisers such as legal, accounting or security specialists;
- regulators, courts or public authorities where disclosure is required or permitted by law; and
- a successor or relevant counterparty in a genuine corporate reorganisation, subject to appropriate confidentiality and legal controls.
Service providers act under their own applicable terms and data-processing obligations. Email notifications are operational alerts; the controlled enquiry record is the primary system record.
International processing
The website is available internationally, and infrastructure or professional service providers may process information in Hong Kong or other locations. Where required, we will take reasonably practicable steps to use appropriate contractual, organisational and security safeguards. Local law may grant rights that apply regardless of the governing law stated in our website terms.
Cookies and similar technologies
We do not currently use non-essential advertising or behavioural analytics cookies. Essential hosting and security technologies may process limited device or request information to deliver the site, prevent abuse and verify a form submission. If we later introduce non-essential analytics or marketing technologies, we will update this notice and introduce any consent controls required before activating them.
Retention
An enquiry that does not become an engagement will normally be retained for no longer than 12 months after the last meaningful interaction, then deleted or anonymised unless a longer period is required for a legal, security or dispute-related reason.
If an enquiry becomes a client, supplier or partner relationship, relevant records may be retained under the applicable agreement, operational record schedule and legal requirements. Security logs may follow shorter operational schedules appropriate to their purpose.
Your choices and rights
You may ask whether we hold personal data about you and request access to or correction of that data. You may also request deletion, restriction or objection where those rights apply. We may need to verify your identity and may retain limited information where required by law or to establish, exercise or defend legal rights.
To make a privacy request, email privacy@actelosai.com with enough information for us to identify the relevant interaction. You may also contact the appropriate privacy regulator if you believe your rights have not been addressed.
Security
We use technical and organisational controls designed to protect personal data against unauthorised or accidental access, processing, loss, erasure or misuse. No internet transmission or storage system can be guaranteed completely secure, so please use the enquiry form only for appropriate business contact information.
Changes and contact
We may update this notice when our website, service providers or legal obligations change. The updated version will show a new effective or revision date. Material changes will be highlighted where reasonably practicable.
